How personal information is handled

Pattern Scope uses personal information only where reasonably necessary to respond to enquiries, deliver services, run the website and workspace securely, and meet legal or business record-keeping obligations.

2. What information is collected

Pattern Scope may collect and process the following personal information:

  • Name.
  • Email address.
  • Device notification subscription records where you choose to enable article alerts, such as browser push endpoint identifiers, cryptographic subscription keys, optional device label, and related technical metadata.
  • Job title or role.
  • Organisation name.
  • Organisation website.
  • Organisation size.
  • Service type, review focus, urgency, and other information you choose to provide in the request form or by email.
  • Records of communications, including emails and files sent to or received from you.
  • Invoice and payment-related records where relevant to an active engagement.
  • Documents or other files you choose to upload to the client workspace or file request link.
  • Technical data collected by service providers involved in hosting, securing, or delivering the website and workspace, such as IP address, browser type, device information, server activity, and access logs.

3. How information is collected

  • Directly from you when you complete a form, send an email, pay an invoice, or upload material to the client workspace.
  • Indirectly through technical website and workspace logs created by hosting, infrastructure, or security providers.
  • From publicly available sources where relevant to the Pattern Scope service, such as organisation websites, public reviews, LinkedIn pages, regulator-facing material, and other publicly visible business information.

4. Why and on what basis it is used

Pattern Scope may use personal information to respond to enquiries and snapshot requests, assess relevance to the service, take steps before entering into a service agreement, communicate about scope and delivery, provide access to the client workspace, send article device notifications where you choose to enable them, maintain security, keep business records, and comply with legal obligations.

The lawful bases relied on are:

  • Contract where processing is necessary to take steps at your request before entering into a contract, or to deliver the requested service once an engagement is agreed.
  • Legitimate interests to assess enquiries, manage prospective work, communicate with organisations, keep appropriate records, operate the website and client workspace safely, and run Pattern Scope effectively.
  • Consent where you choose to submit optional information or where consent is specifically requested.
  • Legal obligation where information must be kept or disclosed to comply with the law, including tax and accounting obligations where applicable.

5. Sharing and providers

Pattern Scope does not sell personal information.

Pattern Scope may share personal information only where reasonably necessary with website hosting and infrastructure providers, email providers, form-processing tools, workspace tools, payment or invoicing providers, accounting or professional advisers, and public authorities or regulators where legally required or reasonably necessary to protect legal rights.

This website is hosted through Namecheap. Request and workspace notifications are handled primarily through server-side notification tools. A browser-side EmailJS fallback may be used only if the server email transport is unavailable at the moment a request is sent.

Namecheap privacy information is available at namecheap.com. EmailJS privacy information is available at emailjs.com.

Some service providers may process personal information outside the UK. Where this happens, Pattern Scope will only use providers that offer an appropriate level of data protection or suitable safeguards under applicable law.

6. Retention

Pattern Scope retains personal information only for as long as reasonably necessary for the purpose it was collected.

  • General enquiry data: up to 12 months.
  • Snapshot request and pre-contract data: up to 18 months.
  • Article device-notification subscriptions: until the subscription expires, you revoke browser permission, ask for deletion, or the notification list is retired.
  • Client-uploaded supporting material: usually up to 12 months after completion or closure of the request, unless a longer period is reasonably necessary for record-keeping, dispute handling, or legal reasons.
  • Business correspondence, invoices, payment records, and financial records: up to 6 years where relevant for tax, accounting, or record-keeping purposes.
  • Final deliverables and associated project administration files: retained for as long as reasonably necessary for delivery, record-keeping, quality control, or legal reasons, and then deleted or archived securely.
  • Technical logs: retained according to the relevant provider's retention practices.

If the information is no longer needed, Pattern Scope will delete it securely or anonymise it where appropriate.

7. Your rights

You may have the right to ask for access to personal information, correction of inaccurate information, deletion, restriction of processing, objection to certain uses, a portable copy of data where applicable, and withdrawal of consent where consent is the basis relied on.

This website is not intended to use non-essential cookies or tracking technologies for advertising, profiling, or analytics at this time. If non-essential cookies or similar technologies are added in future, this policy will be updated and, where required by law, a cookie banner or consent mechanism will be introduced before those tools are activated.

Please do not submit special category personal data, confidential patient information, or other sensitive personal data through the website form, email, or upload link unless this is strictly necessary, lawful, and clearly agreed in advance.
